Brief Job Description
Carries out general clerical, administrative and typing functions; follows up and checks the civil, mechanical and electrical work done by different contractors related to the maintenance of Company housing and a bachelor camp; performs routine maintenance work on houses in emergency cases.

a) Provides secretarial and administrative support to Housing Foreman takes dictation and transcribes.
b) Receives incoming mail; sorts and distributes; gives initial approval to invoices sent by contractors regarding charges for maintenance carried out on monthly basis
c) Prepares daily brief reports on tasks and assignments accomplished and submits to Housing Foreman, as well as monthly report regarding housing section.
d) Preparing rent contracts for hiring new buildings, or renewal of existing rent contracts; prepares rent payments of all company accommodations for landlords.
e) Files correspondence and other records related to the activities of the department or section, Retrieves files as required.
f) Ensures all entries to, and deletions from, the system are carefully made and are according to operational instructions.
g) Receives houses maintenance requests on system and pass them by phone to company's contractor; follows up maintenance. requests after approval by supervisor.
h) Follows up with concerned contractor on the civil work or repair of furniture and electrical appliances or replacing them with new ones as needed, according to the standards established by management for different employee levels.
i) Receives accommodation from employees leaving the Company or transferring to other accommodation; checks the condition of house furniture and electrical appliances, recording the water and electrical meters readings and reports accordingly to the Housing Foreman, Maintenance.
j) Move employees' personal effects and accommodation from one location to another by arranging and following up with concerned contractor.
k) Attends personally to emergency calls received from employees or their families and tries to resolve their complaints and reports to Housing Foreman accordingly.
l) Records the readings of water and electricity meters of all houses on a monthly basis, and submits them to Housing Foreman.
m) Follows up with Umm Said and Wakra municipalities to arrange for emptying the septic tanks of Company housing when needed and especially upon failure of contractor.
n) Checks regularly the emergency lighting system, fire fighting systems and the fire alarm in all Company housing facilities to ensure their adequate operation.
o) Arranges with Inspection, Safety and Fire Division for the recharging of fire extinguishers in all Company accommodation on yearly basis in accordance with established procedures and regulations.
p) Performs other similar or related duties such as accompanying senior staff to traffic department to finalize formalities, and performing simple mechanical or electrical repairs.

Job Requirements
Completion of Secondary (12 years) education.
03 years' experience in personnel/administration & housing maintenance.
Ability to operate word processing equipment and type in English (50-60 w.p.m.) and/or Arabic (40-50 w.p.m.).
Fluency in both written and spoken English.
Computer Literate
