Direct Supervisor: Deputy Chief Security Advisor (DCSA)

Duty station: Nairobi, Kenya

II. Organizational Context

Under the guidance and supervision of the DCSA and the overall supervision of the Chief Security Advisor, the Driver provides reliable and safe driving services to the DSS staff and other high-ranking UN officials and visitors ensuring highest standards of discretion and integrity, sense of responsibility, excellent knowledge of protocol and security issues. The Driver also demonstrates a client-oriented approach, courtesy, tact and ability to work with people of different national and cultural backgrounds.

Upon request of the supervisor, the Driver provides driving services to the DSS staff in the CO, Consultants and Experts and UN staff on mission.

III. Functions / Key Results Expected

Summary of key functions:

    * Provision of reliable and secure driving services
    * Proper use of vehicle
    * Day-to-day maintenance of the assigned vehicle
    * Availability of documents/ supplies
    * Proper action during accidents
    * Effective clerical support.
    * Support to knowledge building and knowledge sharing

1. Ensures provision of reliable and secure driving services by a) driving office vehicles for the transport of authorized personnel and delivery and collection of mail, documents and other items and b) meeting official personnel and visitors at the airport, visa and customs formalities arrangement when required.


2. Ensures cost-savings through proper use of vehicle through accurate maintenance of daily vehicle logs, provision of inputs to preparation of the vehicle maintenance plans and reports.

3. Ensures proper day-to-day maintenance of the assigned vehicle through timely minor repairs, arrangements for major repairs, timely changes of oil, check of tires, brakes, car washing, etc.

4. Ensures availability of all the required documents/supplies including vehicle insurance, vehicle logs, office directory, map of the city/country, first aid kit, and necessary spare parts.

5. Ensures that all immediate actions required by rules and regulations are taken in case of involvement in accidents.

6. Provide effective clerical support with the following results:

    * Close liaison with UNDP Travel, Procurement and Administration units to speed up the delivery of urgent vehicle equipment and prevent unnecessary delays.
    * Photocopying and collecting of documents when requested.

7. Supports knowledge building and knowledge sharing by conducting on-the-job training to staff increasing their driving skills and knowledge of vehicle documentation; and ability to operate the vehicle more safely in a hostile environment.

IV. Impact of Results

The key results have an impact on the accurate, safe and timely execution of the CO services. The additional support provided by the driver will also increase the operational effectiveness of DSS Office as a whole through more effective allocation of tasks and responsibilities.

Language requirements: Fluency in English and Kiswahili is required.

Other requirements: Candidates considered for the post will be required to sit a driving test as part of the selection procedure.

Driver - Country Office

We are seeking for a person to provide reliable and courteous transportation service to staff and visitors with safety a top priority.

Based in Nairobi, this is a responsible position and the duties among others include:

    * Provide driving services to staff while on all official duties
    * Performing minor maintenance tasks on the vehicles when necessary;
    * Ensuring that periodic scheduled vehicle maintenance is completed and reported

Office Driver

Grassroots Alliance for Community Education (G.R.A.C.E) Africa is a Non Governmental Organization (NGO) registered under Kenya’s NGO board in 2001 with a 501 ( c ) (3) not-for-profit fund-raising entity based in the US.

The Office Driver will provide reliable and safe driving services to G.R.A.C.E staff, and visitors. He is responsible for assuring the office vehicle is in safe operating condition at all times. The Office Driver will be based at the G.R.A.C.E Africa office in Nairobi.

Reporting
The Office Driver will report to the Finance and Administration Officer
Major Duties and Responsibilities
* Drive office vehicles for official purposes: transports staff and visitors; collects and delivers mail, documents and other items
* Plan route and requirements by studying schedule or ad-hoc requests by the office.

The Office Driver will provide reliable and safe driving services to G.R.A.C.E staff, and visitors. He is responsible for assuring the office vehicle is in safe operating condition at all times. The Office Driver will be based at the G.R.A.C.E Africa office in Nairobi.

Reporting
The Office Driver will report to the Finance and Administration Officer

Major Duties and Responsibilities
• Drive office vehicles for official purposes: transports staff and visitors; collects and delivers mail, documents and other items
• Plan route and requirements by studying schedule or ad-hoc requests by the office.
• Ensure cost-savings through proper use of vehicle through accurate maintenance of daily vehicle logs, provision of inputs to preparation of the vehicle maintenance plans and reports.
• Ensure proper day-to-day maintenance of the assigned vehicle through timely minor repairs, arrangements for major repairs, timely changes of oil, check of tires, brakes and water levels, car washing, etc so that the vehicle is kept clean and in good running condition at all times.
• Ensure proper use of vehicle maintenance plans and assistance in preparing vehicle history report.
• Ensure availability of all the required documents/supplies including vehicle insurance, vehicle registration, vehicle logs, first aid kit, and necessary spare parts in the assigned vehicle.
• Keep track of insurance and other tax formalities
• Ensure that the steps required by rules and regulations are taken in case of involvement in an accident.
• Arrange to pay office telephone and other bills, as required.
• Perform special requests for the office by picking up and delivering items as directed and running errands
• Maintain passenger confidence by keeping information strictly confidential.
• Perform other related duties as required.

Minimum Requirements
Education and Experience
• Secondary education. Minimum 3 years experience as a driver preferably in an international organization with a safe driving record.

Knowledge, Skills and Competencies
• Must possess a valid and clean driver’s license
• Must possess a certificate of good conduct (not more than 1 yr old.)
• Excellent Knowledge of driving rules and regulations; local roads and conditions.
• Skills in minor vehicle repairs. A certificate in motor vehicle repairs an added advantage.
• Ability to keep accurate records of the use of vehicle.
• Ability to drive safely.
• Ability to follow instructions.
• Ability to communicate effectively.
• Ability to work independently and reliably complete tasks
• Ability to work in a polite, courteous and cooperative manner.
N.B: This position will involve extensive travel outside Nairobi.
