Front Office Administrator/ Receptionist

Reports to: Administrative Officer

Basic Function

The Front Office Administrator will manage NBI’s Front Office operations which include; receiving and directing visitors, maintaining basic records, receive/make telephone calls and receive/dispatch mail/parcels.

The appointment for the position is for two years with possible renewal depending on performance.

Duties and Responsibilities
  • Receiving visitors and guiding them
  • Assisting the personnel with clerical duties like filing, typing, etc.
  • Responsible for both in-coming and out-going mails (registration), in liaison with the driver/office Assistant.
  • Operating the telephone Switchboard.
  • Issuing and receiving office supplies in the store.
  • Maintaining office supplies records
  • Maintaining good filing systems for incoming and out-going mails.
  • Receiving incoming phones and directing them to staff being called.
  • Answering enquires on Nile basin Initiative and Host Institutions.
  • Receive and directing visitors to the appropriate staff wanted.
  • Making petty cash payments and maintaining the records properly.
  • Preparing LPOs, requisition for payments and receiving goods delivered.
  • Receiving and recording mail and documentation to the organisation
  • Any other duty assigned by the Supervisor.
Person Specification
  • An ordinary diploma in Business Administration, Marketing, Customer Care, etc
  • An Advanced Secretarial Course Certificate
  • Certificate in Microsoft applications
  • 2 years working experience in related positions.
  • Fluent in English
  • Knowledge of French language shall be of added advantage.

NBI offers a competitive salary package commensurate with the qualifications and experience. Only the nationals of Uganda are eligible to apply for national position, while nationals of Nile Basin member Countries are eligible for the regional positions. Women candidates are encouraged to apply.
