ActionAid Job Vacancies

ActionAid International is active in over 45 countries in Africa, Asia, America and Europe regions in partnership with other organisations. ActionAid Kenya has been working in Kenya since 1972 to facilitate processes that eradicate poverty and ensure social justice through anti-poverty projects, local institutional capability building and public policy influencing. ActionAid Kenya works in 20 districts of Kenya and links key international, national and local institutions in favour of poor people.

ActionAid seeks to recruit dynamic and innovative professionals to fill the following positions:

IT/IS Manager

Based in Nairobi and reporting to the Head of Finance, you will spearhead the implementation of ActionAid Kenya IT/IS Strategy that supports the delivery of ActionAid Country Strategy Paper.

Key responsibilities will include the following:
  • Providing technical support to all computer systems within ActionAid Kenya.
  • Maintaining a Wide Area Network setup, by improving and deploying new technologies in line with ActionAid policies and procedures.
  • Ensuring that changes to IT/IS Hardware, Network and systems software are in line with ActionAid standards and policies.
  • Providing support on Local Area Network systems in Windows 2000/2003 server, exchange 2003 server at the Head office and support other Local Area Networks in the Regional offices.
  • Providing support in SUN systems, Human Resources systems and ensure donor database is accessed through Lease line bandwidth monitoring.
  • Supporting in the creation of IT/IS awareness and promote IT/IS profile in ActionAid Kenya.
  • Advising the Country Director on new trends in technology and provide analysis as to when to deploy them in ActionAid in accordance with policy and budgetary guidelines.
  • Identifying staff IT capacity building needs, developing and implementing effective training programmes to address the identified skills gap; and
  • Creating links with other ActionAid Country programmes in systems innovation and new technologies in the implementation of global IT/IS strategies.
This is a management position and requires:
  • At least a first degree in Computer Science and a Masters degree will be an added advantage.
  • A minimum of 4 years experience in a busy computer systems environment and sound knowledge in Local Area Network Setup, administration and support and Wide Area Network Setup
  • MCSE certification, CISCO Certification will be an added advantage.
  • Practical knowledge in Windows Systems (Windows 2003 Server, Exchange 2003 and Software firewalls) and good knowledge in Desktop operating systems (Windows 2003 Prof. / XP) as well as applications.
  • Knowledge in router configuration and firewall setup, as well as good understanding of wireless technologies is required.
  • Good understanding of current IT development including web development and content management
  • Willingness to travel to the programme areas.
Impact Assessment and Shared Learning Coordinator

ActionAid Kenya is attempting to improve the way it plans, monitors, evaluates and learns about its work to ensure that its systems create real opportunities for poor people, particularly the most marginalized groups, not only to access resources, but also have influence and choice.

Based in Nairobi and reporting to the Head of Programmes the successful candidate will:
  • Facilitate and coordinate appraisals of new Development Initiatives (DIs)
  • Support the development of Development Initiatives and Country Strategies
  • Facilitate program reviews, country reviews, annual reviews and processes
  • Participate in the identification of key areas for research and facilitate emergency assessment and response
  • Analyze and document lessons from program experiences to shape future strategies for program direction
  • Oversee the development and implementation of Monitoring and Evaluation tools
  • Design and maintain systems for information exchange across regions.
  • Build staff and partners capacity on information gathering and dissemination, documentation and publication of articles in development journals for wider circulation among development actors
  • Ensure that programme materials are available in both internal and global intranets
  • Promote shared learning across AAIK by ensuring research materials are consumable by preparing policy briefs and ensuring circulation of relevant materials between the Centre and other levels of the organization and other development actors
  • Design and review AAIK research work
  • Advise and implement effective and appropriate methodologies and frameworks for strengthening ActionAid Kenya’s pro-poor accountability and impact assessment processes
  • Actively promote shared learning initiatives and project across programme themes, regions and functions to ensure that shared learning supports the ongoing improvement and impact of the work of AAK and its partners; and
  • Share AAIK’s experience of its Accountability, Learning and Planning System and Impact Assessment research and practice with external agencies.
We seek candidates who are passionate and enthusiastic, who possess good interpersonal skills, have at least 4 years’ relevant experience of working with a development/human rights organization, especially in participatory monitoring and evaluation.

Demonstrated understanding and experience of strategies and approaches for shared learning, and the capability to motivate and build collective action in this area.

Practical experience of participatory approaches, facilitation, strategic planning, monitoring and evaluation work. A good understanding of issues related to rights, poverty, human development and gender equity. Fluency in English is essential. You must be willing to travel extensively.

Human Resources Officer

Based in Nairobi and reporting to the Head of Human Resources Organization Development and Administration, you will provide administrative and professional support to the Human Resources/Organizational Development function.

Key responsibilities will include the following:
  • Assisting in the development, review, communication and execution of all HROD policy documents and strategies
  • Facilitating implementation of HROD unit annual budgets Supporting recruitment and placement needs of the organization in liaison with the respective units.
  • Ensuring effective induction of new employees
  • Ensuring timely and effective communication to staff as required and through monthly HR/OD updates
  • Promoting AAIK values among staff and development partners
  • Running ActionAid Kenya’s in-house medical scheme involving processing of medical claims and liaising with the AAIK selected medical doctors and institutions on any issues regarding the scheme and its members
  • Ensuring monthly statements on the status of all medical accounts are prepared and dispatched to staff
  • Ensuring timely communication to the fund administrators and ensuring timely renewal of group life, personal accident and other insurance policies
  • Actively participate in salary surveys with other NGOs
  • Timely and economic identification, implementation and evaluation of organizational training and development needs for all ActionAid Kenya staff; and
  • Facilitating the execution of all employee appraisals ensuring they are undertaken at the agreed time frame, and follow ups on the appraisal actions are implemented.
Our preferred candidate will have:
  • A degree preferably in Human Resources Management or Business Administration with at least 3 years experience in Human Resources and organizational development
  • A Higher National Diploma in Human Resources Management with high integrity, strong communication and interpersonal skills with experience in change management.
  • Ability to respond to issues efficiently and is innovative
  • Exposure and ability to work in a diversified multicultural set-up; and
  • IT skills in HR Information Systems (HRIS)
Grants Accountant

This new position will be based in the head office, Nairobi with extensive travel. Reporting to the Grants Administrator, you will enforce grants management procedures, prepare donor reports; ensuring high accuracy levels are maintained during the process.

Key responsibilities will include the following:
  • Assessing the financial management capacity of grants applicants and potential partners
  • Negotiating with grants applicants and potential partners regarding any financial components of their proposals including expected levels of cost - sharing
  • Creating and maintaining appropriate documentation to support grants expenses
  • Providing technical assistance (monitoring and support) on financial matters and conducting site visits to partners if necessary.
  • Ensuring that all financial aspects of all grants are developed and administered in strict accordance with the donors’ procedures and requirements; and
  • Ensuring that all partner financial/ grants reviews and audits are conducted in accordance with the set procedures and that recommendations of the reviews and audits are implemented promptly.
Qualifications, Skills and Experience
  • At least a Bachelor of Commerce or business related degree, CPA-II qualification with a minimum of 2 years experience in donor reporting
  • Knowledge of grants preparation and management; contract administration and compliance; and computerized management information systems
  • Ability to conduct thorough analysis of expenditure requests and supporting documents as well as coding
  • High integrity with ability and willingness to work and travel extensively within Kenya; and
  • Proficiency in Ms Office packages. SUN system will be an added advantage
Accountant - Nairobi

Based in head office, Nairobi and reporting to the Senior Accountant, you will be responsible for processing payments, payroll, reconciling accounts and handling inter-company accounts.

Key responsibilities will include the following:
  • Processing payments ensuring compliance with finance policies and procedures
  • Reconciling supplier accounts
  • Preparing monthly cash/bank reconciliations for all cashbooks in use.
  • Capturing accounting data in SUN system
  • Maintaining inter-company accounts (Recharges)
  • Preparing payroll on a monthly basis with all the supporting schedules and ensuring remittance of statutory deductions on a timely basis; and
  • Carrying out any other relevant related duties that may be assigned by the immediate supervisor from time-to-to-time.
Qualifications, Skills and Experience
  • At least a Business related degree, CPA II and a minimum of 2 years relevant working experience
  • Excellent inter-personal, facilitation skills and communication skills
  • High integrity, excellent communication and interpersonal skills
  • Ability to work well in a team; and
  • High proficiency in Ms Office packages & preferably SUN system.
