Vacancy Announcement for a Snr. Logistics Assistant, Mombasa (G6) SC - VA WFP/56/09

Job Title: Senior Logistics Assistant Duty Station: Mombasa

Post Grade: G6 – Service Contract

Major Duties and Responsibilities:

Under the direct supervision of the Logistics Officer, Mombasa, the incumbent will be responsible for the following:

  • Assist with logistics operations including all logistics assets in order to ensure timely and cost-effective delivery of WFP cargo;
  • Liaise with the regional pipeline focal points, procurement and logistics officers on planned consignments;
  • Regularly update all recipient programmes/ WFP Country Offices on planned procurement, cargo readiness and commodity arrival for the strategic stocks;
  • Liaise with the WFP Kenya Country Office procurement unit for any purchase of Non-Food Items in support of the said stocks;
  • Coordinate with the Regional Bureau with regards to donor markings and release of stocks;
  • Monitor to ensure that the various programmes only receive the correct quantities allocated to them;
  • Liaise with various WFP Mombasa sections, service providers and statutory Government bodies to ensure that any possible operational bottlenecks are promptly identified and proactively cleared so that cargo is ready for dispatch at all times with the minimum delivery lead times;
  • Act as focal point for the strategic stocks, participating in conference calls as required and dealing with enquiries;
  • Assist with the accounting, reporting on food and non-food items and ensure that internal control systems are functioning and that all relevant records are maintained;
  • Prepare reports as required;
  • Assist in contingency planning and logistics preparedness reviews;
  • Supervise service staff as required;
  • Perform other related duties as assigned.
Qualifications and Experience:

Education: Completion of secondary school education, preferably supplemented by technical or university courses in any of the following: Business Administration/Studies; Management, Procurement, Transport / Warehousing related studies, Statistics; Accounts or other qualifications relevant to logistics.

Experience: At least five years of practical commercial/professional experience in one or more of the transportation and ancillary sectors: port operations, shipping, clearing and forwarding, air operations, large scale road/rail transport and distribution management.

Knowledge: Computer literate and proficiency in Windows (MS Word, Excel)

Language: Excellent command of English.

Critical Success Factors: Sound judgment; ability to extract, interpret, analyse and format data and to resolve operational problems. Ability to work with minimum of supervision; to supervise and train staff; and to work effectively with people of different national and cultural backgrounds. Ability to work with accuracy under time constraints and pressure; to deal patiently and tactfully with staff members and others and to have a high sense of confidentiality, initiative and good judgment.

Expected Results: Well organised reports and/or records, put together independently with only general guidance. Well organised work with accurate information and databases; efficiently supervised team of support staff or work unit.

Desirable: High degree of accuracy and competency required together with the ability to work systematically and to communicate complex matters both orally and in writing.
