World Agroforestry Centre (ICRAF) : Administrative Assistant

The Tropical Soil Biology and Fertility Institute of the International Centre for Tropical Agriculture (CIAT-TSBF), is seeking to fill the position of Administrative Assistant to be based at the CIAT-TSBF office in Maseno, Western Kenya.

The Tropical Soil Biology and Fertility Institute of the International Centre for Tropical Agriculture (CIAT-TSBF), is seeking to fill the position of Administrative Assistant to be based at the CIAT-TSBF office in Nairobi, Kenya. Supported by the Consultative Group on International Agricultural Research (CGIAR), CIAT-TSBF is a non-profit organization that
conducts socially and environmentally progressive research aimed at reducing hunger and poverty and preserving natural resources in developing countries. The Tropical Soil Biology and Fertility Institute of CIAT-TSBF operates as an integral part of the CIAT-TSBF research program and is hosted by the World Agroforestry Centre (ICRAF) in Nairobi, Kenya. The goal of CIAT-TSBF is to contribute to human welfare and environmental conservation in the tropics by developing adoptable and suitable soil management practices that integrate the biological, chemical and socioeconomic processes that regulate soil fertility and optimize the use of organic and inorganic resources.

The Position:
The Administrative Assistant has the responsibility of providing project administrative support to the staff of multiple projects at CIAT-TSBF. The Administrative Assistant works very closely with the Administrative Officer to ensure policies and procedures are adhered to in providing necessary administrative backstopping and with the Project Administrator to ensure that project information is up to date.

Duties and Responsibilities
• Maintain a database of all project activities, maintain a calendar and ensure timely reminders to the project leaders and assisting scientists.
• Identifying articles and information to inform proposal development and assist in preparation and editing of proposals, project reports and publications.
• Manage, review and respond to the internal and external communication flow – drafting correspondence and responding to queries.
• Maintaining and updating of address lists and preparing distribution of materials to regions or in response to specific enquiries.
• Assist in managing staff and student activities and records (orientation, filing, provision for services, etc.)
• Managing travel (ticketing, hotels, visas, airport transfers and travel authorization process) for staff and students.
• Coordinating conferences and workshops both locally and internationally and providing secretarial, logistical and financial administration during the activity.
• Assist in procurement of project supplies and collating necessary documentation to support clearance and payment.
• Updating register of project assets and conducting physical verification.

Requirements:
• Degree or Higher Diploma in Business Administration, Management or other relevant subject with proven office management skills.
• At least three (3) years of relevant work experience in a closely related field gained in an international organization.
• High level of computer skills, ability to handle basic accounting and ability to learn new applications quickly.
• Highly effective planning, organizational and multi-tasking skills with a positive attitude and strong administrative service orientation.
• Ability to work in a multi-cultural environment.
