World Agroforestry Centre (ICRAF) : Project Administrator-CIAT-TSBF

Supported by the Consultative Group on International Agricultural Research (CGIAR), CIAT-TSBF is a non-profit organization that conducts socially and environmentally progressive research aimed at reducing hunger and poverty and preserving natural resources in developing countries. The Tropical Soil Biology and Fertility Institute of CIAT-TSBF operates as an integral part of the CIAT-TSBF research program and is hosted by the World Agroforestry Centre (ICRAF) in Nairobi, Kenya. The goal of CIAT-TSBF is to contribute to human welfare and environmental conservation in the tropics by developing adoptable and suitable soil management practices that integrate the biological, chemical and socioeconomic processes that regulate soil fertility and optimize the use of organic and inorganic resources.

The Position:
ICRAF/CIAT-TSBF seeks to recruit a Project Administrator to be based in Nairobi, Kenya. The Project Administrator has the responsibility of providing project administrative support to the ‘Putting Nitrogen Fixation to Work for Smallholder Farmers in Africa (N2fixAfrica) Project’
by ensuring that procedures are in place for the efficient administration of the project. The Project Administrator reports to the Chief of Operations and works very closely with the Lead institution in the project (Wageningen University, Netherlands) in ensuring that internal and external project reporting is done efficiently. He/She works closely with Project Leaders and provides efficient information regarding issues of project timing and expenditures.

Duties and Responsibilities
• Developing project portfolios with clear project operational guidelines, including guidelines for close-out.
• Developing guidelines, templates, checklists for regular project reporting to the project leaders and the donors
• Monitoring closely project execution and providing feedback to the project leaders on the status of their projects advising them on action to be taken with regard to project extensions, budget reallocations and any other action
• Providing quarterly graphic representation of project expenditure against approved budget in order to provide project leaders and management with a clear status of project resources
• Following up to ensure that project payments to partners are executed in a timely manner
• Following up with the project Finance Assistant to ensure that quarterly project reports are done in a timely manner and expenditures are a reflection of approved project budget line items
• Assisting in compiling donor reporting while complying to donor reporting templates
• Following up with Wageningen University and partners in the project to ensure smooth flow of project paperwork
• Assuming responsibility for other project functions such as planning meetings, drafting letters/reports, scheduling appointments and coordinating travel arrangement
• Any other duties related to project management as may be required as well as any other administrative assistance as may be determined by the Chief of Operations

Requirements
• Four year undergraduate degree in Business Administration and a post-graduate diploma in Project Management
• Good understanding of budgeting and financial management procedures
• Minimum of three years experience in Project Management
• Very good knowledge of database applications, spreadsheets, word processing, MS office applications, and ability to learn new applications quickly
• Knowledge of Spanish or French an advantage
• Knowledge of MS Project an advantage
• Must be able to work independently with little supervision, but also participate as a team member in accomplishment of duties
