Justice Africa is currently launching a major project to stimulate dialogue across the country on the referendum. We are therefore looking to put together a very strong team to run this extremely challenging but vital project. To this end we seek a highly competent and highly experienced Logistics Coordinator.

Job Description Logistics Coordinators



Justice Africa is an advocacy organization and research institute founded in London in 1999 to campaign for human rights and social justice across Africa. Justice Africa contributes to understanding and resolving some of the most pressing issues on the continent, by means of conferences, media work, publications, direct engagement with policy makers, as well as initiating and supporting civil society activities for peace, justice and democracy in Africa. Justice Africa has become one of the most distinctive and individual voices for Africa and has achieved this because it is run by, for and with Africans and African communities; guided by the Pan-African slogan “Nothing for me without me”





Project Overview

Justice Africa is now launching a major dialogue project across Sudan, bringing together Sudanese stakeholders in a discussion of the main issues related to the question of unity and secession. The largest and most challenging component of the project is a ‘Sudan-Sudan’ Dialogue, which will, over the next year, convene large public town hall style meetings in nearly every state capital in the country. The timeframe, scale and scope of the project are extremely demanding and require a highly competent team, with staff who can take on responsibility immediately. To this end, Justice Africa is seeking two Logistics Coordinators to manage logistics for the project under two sectors – Northern and Southern Sudan.





Overview

· Support the successful delivery of all activities managing day-to-day logistics, procurement, security, transport, communications, asset management and other project-support sectors.

· Set up and maintenance of all necessary systems to ensure the smooth and timely implementation of all project activities and the effective use of resources.

· Integration of project logistics systems into the organisation’s procedures and systems.





Programme

· In cooperation with project management, undertake detailed planning and scheduling of all dialogue events

· Assess and put in place all necessary measures to successfully hold large public meetings for 100-200 people in state capitals across the country in challenging and tight timeframe.

· Provide input and guidance on logistics matters to the programme management team.

· Represent Justice Africa with partner organizations on issues relating to logistics.



Security

· Develop and implement a comprehensive security strategy for the project, taking into consideration the controversial nature of the dialogue and any existing tensions in communities.

· Develop and implement a security policy and systems for Justice Africa staff, ensuring adherence to security guidelines.



Procurement and Asset Management

· In cooperation with the Finance and Administration Officer, set up a coherent procurement strategy that takes into consideration donor requirements, project duration / needs and delivery constraints

· Ensure active monitoring of the purchasing process and set up and ensure that a filing system to record and archive all procurements is rigorously maintained.

· Develop and implement an asset management system for procured items for both the project and the organisation.



Transport

· Design and implement a transport strategy and system for the project looking at the accessibility of areas according to season, security and financial and time constraints, in order to facilitate the necessary high levels of staff movement.

· Ensure safe and appropriate operation of vehicles through driver selection and training and quality maintenance.

· Ensure appropriate provision of servicing facilities and management of spare parts.



Human Resources

· Recruit - in partnership with programme management team - mentor and supervise a Logistics Officer for the Southern Sudan sector.

· Work in close co-operation with the other sector logistics team, supporting them as and when necessary.

· Lead in building a close-knit and strong logistics team.



Finance, Administration & Reporting

· Work closely with the Finance & Administration Officer to ensure compliance on all processes with donor requirements.

· Provide accurate and timely narrative and financial reporting as required.







Experience / Key Requirements



- Minimum of three years senior experience in logistics coordination and five years overall experience in the sector.

- Knowledge and experience of working in Sudan (either South or North)

- Ability to manage tight deadlines.

- Ability to troubleshoot problems and handle pressure.

- Understanding of key donor reporting requirements.

- Experience in security work a benefit

- Excellent team building, coaching and mentoring skills and strong team player.
