EXECUTIVE ASSISTANT TO MANAGING DIRECTOR

Job Purpose: This is a managerial position that ensures Managing Director's office runs effectively in steering the company achieve set objectives.

Duties and Responsibilities:

 Making decisions and offering directives on behalf of the MD under his guidance
 Working with MD to ensure tasks set in the workplan are achieved, regular reviews of what is expected under the MD's office will be done periodically
 Representing MD in meetings with clients as well as internal meetings as directed
 Managing corporate communications and company's image
 Ensuring good relationships are maintained with key external clients and stakeholders on behalf of the MD
 Following up on clients that the MD is handling and ensuring the sales are concluded within expected timelines
 Preparing correspondences on behalf of MD
 Managing MD's Diary and setting up meetings on his behalf
 Managing the MD's incoming mails, calls and visitors
 Managing travel arrangements for MD, both local and international
 Attending key meetings with MD and following up on agreed actions
 Organizing company management meetings and assisting with follow up on actions from the meetings
 Being Secretary of management meetings, scheduling the meetings and ensuring minutes are circulated in good time
 As a member of the management team ensuring smooth running of company's activities and assisting other managers deliver on their mandate as much as possible.
 Other duties as may be assigned by the Managing Director from time to time

Qualifications

Bachelor of Business Administration in Business Management or its equivalent. Additional qualifications on corporate secretarial, Marketing, Human Resources management or PR/Communications will be an added advantage.

Experience

At least 5 years experience in corporate organizations using result based management systems, 3 of which should involve close liaison and support on top management. Evidence will be required for supervisory skills and working in teams.

Age: 24- 40 Years
