Role purpose
- To assist the Operations in Charge to effectively maintain the smooth and efficient operation of the packing and removals department
- Key activities include collating all documents required for export shipments compiling accurate invoices and preparing weekly management reports
Key accountabilities or main areas of responsibility
Operational Measures
Operational Measures
- To follow up on quotations submitted to customers by Operations in Charge
- To book confirmed jobs into the departmental diary and to ensure their discharge
Revenue Generation/ Costs
- To ensure correct pre alerts and correct documentation is sent for all export shipments
- Identify any revenue streams and opportunities through client base
Effective Relationship Measures
- Develop relationships within the logistics, removals and transport network and maintain a good profile within this group of contacts
Communication - Internal and External
- To forward regular updates to management to keep them in touch with actual workings on ground
Management Measures
- Ensure shipment despatch coordination and follow up with all parties
- To ensure documentation required for the export of shipments is collected/received from customers in good time
- To prepare accurate invoice drafts and to attach correct and complete attachments to ensure prompt payment.
- Prepare weekly reports on business sold and business lost
- Prepare monthly revenue reports
On Time Performance Measures
- Ensure all deadlines are consistently met for reports and documents
- Maintain a proactive attitude within the department
