Purchasing/Supplies Assistant
Reporting to the Operations Manager, the key responsibilities shall include:- Monitor the trends of stores and work out re-order levels
- Undertake market surveillance on process of goods and services
- Organize and participate in receiving and opening of tender documents
- Prepare documents in liaison with user departments
- Participate in evaluation of tenders, proposals and quotations
- Prepare for the tender committee meetings
- Prepare contract documents for the tender committee meetings
- Prepare contract documents in line with award decisions
- Ensure there is an adequate and neatly organized filling system for waybills, inventory records and other logistical records.
- Ensure that procurements are done in accordance with IRC Policies and procedures, ensuring that the purchases of goods are appropriate in terms of quality and fair market price
- Ensure that up to date files for price guide / catalogues / products technical information to be used by the office for Budgetary and ordering purposes are maintained
- Ensure that updating stock records is done on a daily basis both on the prolongs and stock cards
- Strictly monitor fuel utilization and vehicles efficiencies.
- Minimum Diploma in Purchasing and Supplies Management
- Ability to work under pressure to pursue multiple tasks simultaneously to successful conclusions.
- Ability to work with minimum supervision.
- Good computer skills (Word, Excel); Knowledge of ERP an advantage
- Experience is not necessary but those with 2 years or less of experience will be considered
- Holders of driving licence will have an added advantage
