KEMRI / CDC Programme Vacancies: Administrative Assistant

Program description: This program is a collaboration between Kenya Medical Research Institute and the US Centers for Disease Control and Prevention whose remit is to conduct research in malaria, HIV and other diseases. There is currently a vacancy in the Malaria Branch, Mefloquine + CTX Study

POSITION: Administrative Assistant, MR 7 (JOB GROUP K)

LOCATION: Kisian (Internal)

MINIMUM REQUIREMENTS

  • A Diploma in Business Management, HR or equivalent
  • Minimum 1 years experience in Business, Finance,Accounting or closely related areas.

DESIRED QUALITIES:

  • Strong writing and communication skills
  • Good management, interpersonal, decision making and analytical skills.
  • Ability to work with minimal supervision.
  • Proficiency in computer usage especially Microsoft packages.

Basic Function of Position


S/He will Work under the supervision of the Study Coordinator and serve as the Administrative Assistant for the CTX study. S/He will be the administrative liaison person between base and the project and will extensively interact with other projects and sections. S/He will work closely with the Malaria Branch Administrative Officer.

Major Duties and Responsibilities

  • The incumbent will take primary responsibilities in the preparation and tracking of the CTX and other sections budget and expenditures within the Malaria Branch and responds to requests and questions from funders.
  • submit timely reports on expenditures as required by the funders.
  • Liaises with HR office in the processing of paperwork for newly employed staff.
  • Coordinates personnel travel through the preparation of travel requests and travel orders for local and international travel.
  • Schedules, coordinates, attends, takes minutes and follows up on ctx Study meetings.
  • Requisitions and follows up on supplies, stationery, printing, maintenance and other services from relevant offices, e.g. Procurement office.
  • Provides support and assistance to staff on HR issues and maintaining and updating confidential database containing employee job descriptions, CVs, certificates, contract dates, grading, appraisals and leave details according to the CDC/KEMRI policies.
  • Coordinates logistical arrangements for program activities such as workshops, seminars and other CTX training programs. Also assists in the preparation of training materials and booking resources and equipment.
  • Undertake other duties as may be assigned from time to time in line with the CDC/KEMRI regulations.

TERMS OF EMPLOYMENT: Six (6) one year renewable contract as per KEMRI scheme of service and a Probation period for the first 3 months.

Remuneration: Compensation is negotiable within a relevant grade, based on education levels, relevant experience and demonstrated competency. The salary scheme is based on the KEMRI scales plus supplemental amounts.
