Organizational background
The World Food Programme Somalia activities include food assistance relief, emergency school feeding, humanitarian air and logistics services, food coordination and emergency rehabilitation projects.
This position is open to Kenyan nationals. Qualified candidates and Female candidates in particular, are encouraged to apply.
The Staff Assistant will report to the senior programme assistant and work in close coordination with programmee assistant (CP liaison) and Logistics unit. The incumbent will be responsible for the following duties:
- Prepare comparative reports between information and distribution plans, Food Release Notes ( FRNs) and dispatches by logistics and use this information as a baseline for gathering CP distribution reports from partners and Areas of Operations (AORs)
- Use dispatches / distribution figures obtained from the field estimate beneficiaries for the current month
- Review all CP reports to ensure consistency, accuracy and completeness of the information provided against the commodities dispatched and prevailing distribution plans
- Enter and analyze data obtained through monthly CP distribution reports into the COMPASS database ensuring:
- Reconciliation between dispatches and distribution
- Correlation between food distributed and beneficiaries targeted
- Maintain a log of all Cooperating Partner (CP) reports received categorized by sub-offices and ensure follow up of the missing reports
- Maintain and update physical CP distribution reports files at the country office by respective sub office and CP
- Prepare weekly/ monthly reports on
- CP Reports shortfall by sub-office
- CP commodity reconciliation
- Food distributed by commodity, quantity and number of beneficiaries targeted
- Monitor CP details update in COMPAS by logistics to ensure appropriate names and locations of operation are uploaded correctly for subsequent delivery / distribution data entry
- Maintain accurate records and files within the field of work
- Draft correspondences related to the field of work
- Perform any other duties assigned by the supervisor
Minimal qualifications:
Education: | Secondary school education, preferably supplemented by courses in a field related to WFP programmatic activities. |
Experience: | At least three years of progressively responsible support experience including at least one year in the field of accounting, transport, insurance, statistics, operations or another related field, or a university degree with at least one year relevant work experience. |
Language: | Fluency in both written and spoken English is a requirement. |
Knowledge: | Experience utilizing computers including word processing, spreadsheet and other software packages. |
