The Operations Assistant is a long-term local support position will be responsible for:
- S/he will be responsible for the organization of a significant amount of workshop events, meetings, and travel arrangements under the Kenya Pharma contract as well as assisting with the administrative and logistics duties related to managing the Kenya Pharma office.
- Work closely with the Program Operations Support Director and Office manager to plan a quarterly schedule of upcoming trainings and meetings, including budgetary implications and comprehensive price-outs for all needs
- Act as the main liaison between the field teams and the finance office in terms of financial requisitions, processing of travel advance requests and expense reporting
- Organize and finalize all workshop payments for all Kenya Pharma field staff and invitees including the expense reports processing
- Assist facilitators in finalizing draft minutes, workshop materials, and workshop notes and final reports.
Qualifications
- Diploma in Business Management and 3 years experience in a similar position
- Computer literacy in MS Word
- Excellent skills in usage of MS Excel is a must
- Familiarity with USAID Procurement procedures is a must
- Previous experience working on a USAID project a plus
- Strong organizational skills and attention to detail
- Strong written and oral communications skills
- Knowledge of USAID financial procedures will be an added advantage
