Our client, a medium size construction firm, specialising in the construction of high end, artistic lodges and homes, requires a Procurement Manager.

Job Profile
  • Source suitable supply samples for the consideration of the Managing Director/Client.
  • Supplier Quotations - Obtain three competitive quotes (if possible in each given area) for each item to be included in a Bill of Quantities in a timely manner given the surrounding deadlines being kept to by the Managing Director, Project Director and Financial and Administrative Manager.
  • Once the supplies and suppliers have been decided upon, the Employee is to produce individual Supplier Agreements (where necessary) which will include all the major contract terms (including a delivery timetable) with the supplier.
  • The employee is to have total responsibility of co-ordinating logistics, paperwork, timetables, etc with the supplier at the Managing Directors instruction.
  • To ensure that a copy of all quotes, draft contracts, contracts, Local Purchase Orders, revisions to the contract etc are forwarded to the Managing Director and Project Director
  • Organise the transport schedule for all the supplies for the project well in advance of the project start date (time allowing). When complete to provide a copy of the transport schedule to the Managing Director, Project Director, Financial and Administrative Manager and Clerk of Works.
  • Liaise with the Financial and Administrative Manager and Project Director as necessary regarding the intended/necessary expenditure of purchasing the supplies and organising the delivery of the same, to enable accurate cash flow forecasting.
  • To liaise with the Clerk of Works to ensure that all goods when received on site are entered into the Store Book.
  • To ensure that all inventory/delivery and all other documentation is completed and stored safely in the Site Office or the main office as appropriate. It is the Employee’s responsibility to monitor the Clerk of Works and all the above processes to ensure all are carried out correctly.
  • The Employee will keep the Clerk of Works advised on any changes to the transport schedule, any extra materials needed for the project, the disposal of waste items from the site, the removal and delivery of any appropriate waste wood to recycled, etc.
  • To organise the economical sourcing and delivery of all office stationery as required by the main office and to supervise the maintenance (inc liaising with service engineers where required) of the IT system, telecoms system (inc any landlines, fax, mobiles) and email service to the office.
  • Monitor the usage of supplies to ensure that irregularities, duplications and wastages are minimized.
  • To ensure that the Clerk of Works completes the Weekly Site Report fully and accurately.
  • Weekly Stock-taking and verification of the assets, and ensure that weekly and monthly inventory reports are completed accurately.
  • Ensure that all purchases are properly secured and stored and that the various items including consumables are accurately entered in the relevant registers and the accounting system;
  • Under the supervision of the Managing Director or Project Director as the case may be, to organise the import process of any items that KTL need to import into the country. This will include liaising with suppliers, shipping/air freight companies, the relevant Kenya import authorities, SGS and any other body that requires notification and payment.
Qualifications
  • Chartered Institute of Purchasing and Supply qualification or diploma in the same.
  • Diploma in Project Management an Added advantage
  • Minimum of four years experience in a construction industry essential
Hours of Work

The hours of work shall be 8.00 a.m. to 5.30 p.m., Monday to Friday.

Reporting

You will report to the Managing Director directly and support the Project Director.

Travel

Valid Travel expenses and advances as specified in the Companies Personnel Policies and Procedures will be paid.

Remuneration: Upon application and will be determined according to qualifications, skills and experience.
