The Kenya Institute of Management – a leading not-for-profit membership based, management and business development organization seeks to fill the following positions in our branches.
1. LIBRARY ASSISTANTS (Two Positions - Nyahururu and Naivasha)
This position report to the Branch Executive, the job holder will be responsible for the day-to-day management of Branch Library and information services.
DUTIES AND RESPONSIBILTIES
· Overseeing the day to day running of branch library operations
· Indexing of all information materials received for the branch library
· Offering in-house circulation services including maintenance of accurate records of all circulated materials
· Identifying and making requests for needed library learning materials, information, research materials and equipment
· Providing a favorable atmosphere for studying and learning in the library
· Organizing library materials according to the Library of Congress classification system.
· Creating and maintaining branch library holding database
· Providing orientation to new library users
· Carrying out regular stock-taking
· Ensuring security for library materials
· Performing any other duties as may be assigned from time to time by management
THE PERSON
Knowledge, skills and experience required:
· A Diploma in Library and Information Studies with a credit from a reputable Institution
· At least two years experience in a busy library
· Computer literate
· Aged below 35 years
· A working experience and exposure to an automated library environment will be an added advantage
2. OFFICE ASSISTANTS – KISUMU AND MOMBASA
This position report to the Branch Executive, the job holder will be responsible for delivering and collecting mail, clean offices, prepare and serve tea to staff members and visitors.
KEY RESPONSIBILITIES
The successful candidate will be required to:
§ Provide clean drinking water for all staff
§ Carry out clerical and messengerial duties
§ Maintain cleanliness in the premises.
§ Collect and distribute official mail in all forms
§ Undertake any other duties as specified from time to time
THE PERSON
Knowledge, skills and experience required:
· Aged between 25 – 35 years
· With KCSE certificate mean grade c-
· Good communication skills and pleasant personality
· Good customer relations
· Ability to use office machines such as computers, fax, photocopiers, scanners, phones among others will be an added advantage.
3. CUSTOMER RELATIONS ASSISTANT – NAIVASHA BRANCH
The jobholder is responsible for the provision of excellent customer care service to the users
at Naivasha Branch including Members, KIM students and all visitors
KEY RESPONSIBILITIES:
§ Receive all visitors and put them in contact with the person required, in line with agreed standards of service
§ Maintain a pleasant and tidy reception area in order to make a good impression on visitors
§ Accept and connect all incoming telephone calls to the appropriate extension according to agreed standards of service and relay telephone messages and fax messages
§ Maintain proper records of incoming and outgoing calls
§ Handling deliveries and mailings; receive and dispatch mail and maintain appropriate records as required.
§ Effectively manning the front office area and handling all enquiries
§ Issuing of KIM informative materials to students, lectures ,clients, members etc
§ Attending to visitors and clients and directing them to the right places
§ Liaise with the security guards to ensure orderliness at reception
§ Maintain solid customer relationships by handling their questions and concerns with speed and professionalism
§ Monthly reports on the outgoing telephone calls and customer complaints and feedback
