Administrative Assistant, Kenya

The International Crisis Group (Crisis Group) is an independent, non-profit, non-governmental organisation, with some 130 staff members on five continents, working through field-based analysis and high-level advocacy to prevent and resolve deadly conflict. We are currently looking for a highly motivated and capable staff member (Kenyan national) who will be working at our Nairobi Office as Administrative Assistant.

Role:
Reporting to the Operations Manager, the Administrative Assistant will ensure the day-to-day operation of Crisis Group's Nairobi office and will serve as the liaison point between the Nairobi office and other Crisis Group field and advocacy offices.
Responsibilities:
•Serve as first point of contact for all office inquiries (email, phone, mail, and visitors);
•Cover front desk duties;
•Handle all bookkeeping functions such as reviewing and paying vendor invoices, conducting bank transactions, reconciling bank statements, preparing monthly financial reports to headquarters and other accounting duties as directed;
•Maintain office equipment and troubleshoot computer, network and software problems in coordination with the technical support centre in Brussels;
•Provide assistance in organization of meetings and special events;
•Handle administrative functions such as directing incoming mail, working with vendors, supervising service delivery, maintaining the report library, maintaining office supplies and others functions that help keep the office running smoothly;
•Provide travel, accommodation and other administrative assistance to Crisis Group personnel and board members visiting Nairobi; and
•Assist with setting appointments and other administrative support as necessary.

Requirements:
•Degree in Business Administration or equivalent;
•CPA 1;
•At least three years of office experience in a busy international NGO with some bookkeeping responsibility;
•Fluency in spoken and written English;
•Excellent oral and written communication skills;
•Excellent working knowledge of computer applications and databases;
•Demonstrated organizational and administrative skills;
•High level of integrity and initiative; and
•Ability to work under pressure with minimal supervision.
