Terms of Reference
Assistant program Coordinator:
- Assist the program coordinator in planning the day to day activities of the organization
- Have a technical know how of the organization’s activities, thorough understanding of every program’s sectoral activities, organization’s strategic plan, objectives, project volunteers, GBV survivors etc.
- Supervise the volunteers and interns of the organization, Must be well versant with GBV, HIV/AIDS, Human Rights and Gender issues
- Must be able to facilitate trainings on the above topics internally and externally
- Capacity builds the volunteers and interns through in-house trainings on GBV, HIV/AIDS, Counseling, and Human Rights issues.
- Design the project work plans, objectives and activities of individual project sectors to guide the fundraising officer in writing the concept notes and proposals.
- Represent the organization in external meetings while keeping regular updates, schedules and follow ups of the meetings.
- Keeping track records of the organizations’ program and field activities for purposes of report writing
- Compile weekly and monthly activity reports for the subsequent posting to the website
- Perform any other activity as requested by the program coordinator
Fund-raising and proposal development
- Research and prepare a database of potential donors for the organization’s program activities in consultation with the program coordinator/assistant program coordinator.
- Write concept notes for identified projects and submit to potential donors
- Follow up the concept proposal submitted and develop project proposals for funding requests in consultation with program coordinator
- Establish other fund-raising initiatives for the organization’s program activities
- Advise the coordinator on other possible sources of funding
- Ensure proper management and accountability of the funding received by the organization.
Social workers/community outreach
- Conduct field visits with an aim of identifying vulnerable persons in need of psycho-social, medial or legal support
- Open files for individual clients with a detailed summary of each client’s case, including physical location and the mobile contact details of the clients
- Maintain individual clients’ records and ensure regular follow ups of such clients
- Accurately assess and document every clients case history and recommend the service required by the client
- Refer the clients to the right service provider (medical, psycho-social, legal or any other) appropriately.
- Offer counseling, debriefing and psycho-social support to the clients prior to their referrals.
- Regularly update the coordinator on the progress made by individual clients before and after their referrals
- Carry out home visits to the bed ridden clients and suggest the best recommendations for such clients to the coordinator
- Perform any other duty as requested by the coordinator
Communications/public relations/IT Assistant
- Attend every internal and external function of the organization
- Record every outcome of the events, activities and deliberations of every meeting attended by the organization’s officials
- Take down minutes of such meetings for record purposes, and for posting onto the organization’s website
- Take photographs at the internal and external functions of the organizations
- Submit the photographs taken at such events, including accurate records to the organization’s website manager for regular/weekly website updates.
- Write public relation articles, letters, position papers for the good public image of the organization in close consultation with the program coordinator before postings into the organization’s website, or press release
- Write recommendation letters to the program beneficiaries where necessary, and only with the approval of the program coordinator
Office Assistant/Secretary/Receptionist
- Must be computer literate
- Good communication skills, good public relation skills
- Will be in charge of proper management and supervision of office equipment
- Will be required to give regular updates to the program coordinator on daily office events
- Will be in charge of receiving new and old clients, and giving clients appointments with relevant officers based on clients’ individual cases.
- Will be responsible for all the incoming mails, outgoing mails and all typing work relating to the program activities.
For all the positions;
The volunteers will be expected to;
- Perform any other tasks as requested by the program coordinator, ability to work with less supervision, incorporate team work, and be able to work in a multi-sectoral set up, language proficiency in English and Kiswahili a must.
- To report to work at least three days in a week, and to seek prior consent of the program coordinator in case he/she has to be absent
- To work for at least 3-5 hours each of the three selected days
- To maintain high level of integrity, confidentiality, commitment and responsibility during their hours of service
- To channel all their views, grievances, opinions or concerns to the coordinator in a formal way
- The service offered will be purely on a volunteer basis and no payment is guaranteed. However, priority will be given to the volunteers in case of any job openings.
