ILRI seeks to recruit an Administrative Assistant for the Improving Market Opportunities Theme. Reporting to the Program Management Officer, the successful candidate will provide administrative support and office management to Market theme research and primarily to the Animal Health and Trade Operating Project.
Specific responsibilities include: Working closely with other Administrative and Finance staff within the Market Theme, the main responsibilities will include:
- Co-ordinating local and international travel, meetings, workshop and conference logistics and verifying related hotel, housing, catering expense reports etc
- Providing secretarial support services including word processing, drafting of routine correspondence, report formatting, and when necessary preparation of graphics for presentations at meetings and conferences
- Providing general administrative support which includes receiving and assisting visitors, attending to telephone calls, setting appointments, monitoring E-mail and following-up requests from staff on administrative and information technology matters
- Maintaining up-to-date hard copy and electronic filing systems
- Backstop designated out-posted staff to assure that they receive prompt information and support to all requests
- In coordination and support of senior administrative assistant, maintain a database of consultant contracts and CVs and support the preparation of payment and consultant requests as necessary
- Maintain logs of administrative requests, issue weekly reminders on uncompleted administrative task and identify bottle necks to timely support
Preferred Skills and qualification:
- A Diploma in Business Administration or related discipline is required. A Bachelors degree in similar discipline is an added advantage.
- At least three years administrative support and office management experience in a busy international or private sector organization or multi-cultural environment
- Demonstrable experience in organizing meetings, conferences and workshops
- Good teamwork, interpersonal, communication and multi-cultural skills
- Well developed computer skills in Word, PowerPoint and Excel
- Good personal organization skills, accuracy and attention to detail required
- Highly effective multi-tasking skills, with ability to coordinate, prioritize, and organize workload, meet deadlines and work under pressure
- Capacity to take initiative, demonstrate good judgement, and work under minimal supervision
Terms of appointment: This is a Nationally Recruited Staff (NRS) position based at ILRI’s Nairobi campus and is on a 2-year contract renewable subject to six months probation period, individual performance and availability of funding. Salary and benefits will be in line with those provided within ILRI’s NRS scheme.
