Terms of Reference 
Under the direct supervision of the ICT Officer, the ICT Staff/Inventory Assistant will be responsible for the following tasks:
Responsibilities:
  • Perform secretarial duties and provide administrative support to the ICT Unit.
  • Maintain inventory of material and/or database of information, such as, computer related equipment, communications equipment, electrical equipment, website content, training material etc.
  • Serve as focal point of the ICT helpdesk database and phone number and direct calls/email to relevant staff to address the issues.
  • Issue/assign ICT equipment and prepare loan property form/personal stock card for the equipment Issued.
  • Receive all ICT equipment and dispatch to various duty stations in S/Sudan.
  • Keep a very detailed ICT stock inventory by registering equipment movement in/out of the stock into the WFP inventory database for equipment tracking.
  • Follow-up with the Procurement Unit & ICT Khartoum on equipment delivery and shipment and supply of ICT equipment.
  • Assist in physical shipments of ICT equipment and verify the quantity for dispatch to the S/Sudan offices.
  • Maintain logs or archives of information, such as computer related logs, trouble tickets, directories, website publications, registries, data warehouses, reports etc.
  • Liaise with sub-offices ICT Assistants on ICT inventory and compile the monthly inventory report and distribute to appropriate persons.
  • Perform other related duties as required.

Minimum qualifications:
Education:
Secondary school education, supplemented experience or additional education in the related field.
Experience:
Formal training in secretary work and at least two years working experience with related field; Good understanding on inventory management
Knowledge:
Experience utilizing computers, including word processing, spreadsheet and other software packages. Knowledge of WFP administrative regulations and rules, and WFP policies and procedures in the area of work.
Desirable skills:  Working knowledge of other UN official languages. training and/or experience using MS Word, MS Excel, MS PowerPoint and other WFP software; knowledge of WFP administrative polices and procedures.
Language:
Fluency in both oral and written English language and Basic Arabic.
