Logistic Coordinator
Location: Nairobi, KenyaDuration: 6 months with possibility of extension
Solidarités is an international humanitarian aid organization which provides assistance to populations who are victims of armed conflict or natural disasters. For 30 years, Solidarités has concentrated its action on meeting three vital needs: water, food and shelter. By carrying out emergency programs, Solidarités has acquired experience end expertise in the fields of access to drinking water and sanitation.
In the Horn of Africa, Solidarités is currently implementing food security, water and sanitation projects in Kenya and Somalia.
1/Objective of the position
The Purchase Officer will be in charge of managing all the purchasing activities of Nairobi Regional Office.
2/Hierarchy
The Purchase Officer is under the responsibility of the Logistic Coordinator. He/She will work in collaboration with the National staff and the expatriate staff.
3/Keys responsibilities:
Note: this list gives the framework of your activities but it is not exhaustive. You may be asked to complete other duties.
The Purchase Officer will support the following activities:

  • Collecting quotations for equipments and supplies
  • Choosing the adequate supplier according the request, quality and price.
  • Undertaking systematic negotiations on prices and services and enquiring about financial conditions
  • Being in contact with the suppliers and drawing up suppliers contracts with the Logistics Coordinator
  • Executing the purchases according to the IOFs received and following the priorities defined by the logistics coordinator at the weekly log meeting.
  • Managing petty cash as advances (including clearance within 2 weeks delay maximum)
  • To respect the purchase rules of Solidarités.
  • Checking that Solidarités procedures for national purchase, local orders and requests for quotes are followed (if purchases are over a pre-defined amount)
  • Responsible for the IOF follow up data entry and responsible to submit to the Logistics Coordinator the IOF follow up on a monthly basis
  • Responsible for the closure of purchase files
  • Filling and classification of the Solidarités documents
  • Being the interface with the field bases for purchase issues always put in copy the logistics coordinator in mail correspondence.
  • Following up customs clearance procedures and following up procedures for closing exportation/importation files
  • Working in close contact with the Logistics transport officer on goods dispatch and its follow up
4/Qualifications and experiences requested
Qualifications:
  • Minimum Business degree in relevant field.
  • Professional training in procurement and logistics
  • Member of a professional body in logistic for supply chain management is an advantage
Experiences:
  • Experience of logistics in NGO required (2 years)
  • Experience of purchase procedures
  • Experience of cross cultural environment
  • Experience of working in a team required

Skills and competences:
  • High professional integrity
  • Hard working
  • Ability to propose and put into action new ideas
  • Excellent Computer skills (Word, Excel, Outlook)
Languages:
  • English (working language): fluent, with excellent writing skills.
  • Kiswahili remains desirable skills
