The United Nations Mission in Sudan is seeking qualified candidates for the following post(s): 
Title: Inventory Assistant  Grade: GL - 4 Region (please indicate preference in application): Juba

  1 Vacancy will remain open for at least two weeks, or until it is filled. Preference will be given to internal candidates who are at the same grade as the post being advertised, then to internal candidates one grade below the post, and finally to external candidates.

Duties and responsibilities:
Under the supervision of the Section Chief or his/her designate, the incumbent shall perform the following duties:
 
  • Update the inventory reflecting all new acquisitions and items that have to be removed due to Local Property Survey Board (LPSB) action recommending that they be written off the section inventory;
  • Enter all data on defective assets removed/ replacement assets installed as indicated by the individual unit supervisors within the section; re-confirms serial numbers/barcode information;
  • Initiate with PCIU the 100% physical inventory of all unit non-expendable equipment within the Section on a 6 month basis, accompanying PCIU staff to all locations where the section equipment is located;
  • Assist PCIU in the formulation of the monthly and end of the year section non-expendable inventory;
  • Assist in processing inventory write-off reports to be submitted to the Local Property Survey Board (LPSB) regarding non-expendable assets within the section that are beyond economical repair, obsolete or has been stolen/lost;
  • Prepare equipment scheduled for LPSB write-off action for physical inspection by the initial survey board;
  • Coordinate with the Receiving and Inspection (R&I) Unit all R&I reports, ensuring consignments are received in good order, and as outlined in the line items within the Purchase Orders and Packing Lists;
  • Advise supervisor based on the report from the R&I Unit, of any discrepancies observed regarding incorrect or defective items supplied or items that have been lost or damage in transit;
  • Ensure in conjunction with the PCIU and R&I units that the relevant bar-codes are attached to all new equipment assigned to the section, confirms these bar-code numbers during the 6 monthly inspections;
  • Confirm based on the 6 monthly inventory checks that all serial numbers, barcodes and model numbers are correct and that no duplication or typographical errors exists within the section inventory;
  • Coordinate with unit supervisors, PCIU and UNHQ to confirm the descriptions and values indicated in the inventory are accurate; corrects any abnormalities accordingly standardizing all such information;
  • Initiate random spot checks to confirm the accuracy of the inventory; reports any shortfalls or damage;
  • Perform verification and data migration of existing field mission property control databases;
  • Maintain records of all write off action approved by LPSB including sales, donations, and destructions;
  • Perform other duties as may be required.

Planning and Organizing: Demonstrated skills and ability to coordinate the work of others, work to tight deadlines and handle multiple concurrent projects/activities.
Communications: Proven communication (verbal and written) skills, including ability to prepare a range of reports and communications.
Judgment and Decision-making: Discretion and sound judgment in applying expertise to complex and/or sensitive issues.
Accountability: Operates in compliance with organizational regulations and rules; and take personal responsibilities for his/her own shortcomings and those of the work unit, where applicable.
Technology Awareness: Good computer skills, including proficiency in computer systems, word processing, spreadsheet and Internet applications; familiarity with database management desirable.
  Qualifications:
Education: High school diploma or equivalent.  Post-secondary education at college, university or specialized training institution in project management, computer applications and database/Asset/ Finance management is an asset.
Experience:   At least four (4) years of progressive relevant experience. Logistics, accounting and administration background preferred with proficiency utilizing computer software applications (Galileo, Business Objects, Lotus Notes, Excel, MS Word, PowerPoint and Access).  Experience with UN/NGO or other International bodies is an added asset.
Languages skills: Fluency in written and spoken English and Arabic.  Knowledge of other languages spoken in Sudan and/or other UN languages is an advantage.
