AMBASSADOR'S SECRETARY

The Secretary will be the Social Secretary to the Ambassador as well as being responsible for all secretarial services to the Embassy Management and for protocol related matters.

RESPONSIBILITIES:

Social Secretary to the Ambassador:

• Administer invitations and arrange formal functions to be hosted by the Embassy

• Receive and respond to official invitations

Secretarial services to Embassy Management:

• Correspondence with Government Institutions, Ministries, Embassies, e.g. Note Verbal etc

• Arrange appointments with Government Institutions, Ministries, Embassies.

• Maintain the management calendar

• Maintain the Embassy Planning Calendar.

Protocol related matters:

• Advise Diplomatic staff in protocol matters and processing of application forms.

• Administer meetings and conferences incl preparations of video conferences.

• Update Diplomatic missions list, Tanzanian Ministries lists etc.

Other duties:

• Administer Management and Planning of visiting delegation

QUALFICATIONS:

• A bachelor's degree in social studies, business administration or equivalent qualifications.

• At least 3 years secretarial work experience in a busy multicultural environment

• Proficient in Microsoft ExcellWord/PowerPoint and Outlook.

• Reliable, resourceful, dynamic and innovative with excellent multi-tasking skills.

• Must have excellent verbal and written communications skills in Swahili and English.
