
Position: Payroll Assistant
Reporting to: Financial Controller
Supervises: None
Position Summary:-
The Payroll Assistant is responsible for receiving and processing payroll data; ensures accuracy of payroll data including deductions and adjustments; ensures the payroll is reconciled; and responds to payroll queries.
Duties and Responsibilities:-
The incumbent will be responsible for the following main areas:
- Verify attendance, hours worked, and pay adjustments, and post information onto designated records
- Collate Time and Attendance records for payroll input.
- Post billable work hours to client files in order to bill clients properly
- Process and issue employee paychecks and statements of earnings and deductions.
- Review time sheets, work charts, wage computation, and other information in order to detect and reconcile payroll discrepancies.
- Record employee information, such as promotions, and resignations, by updating payroll records.
- Ensures all payroll adjustments are accompanied by duly authorized documentation.
- Ensures all new employee payroll input is accompanied by a duly signed employment contract.
- Adheres to payroll signoff procedure in liaison with the Financial Controller.
- Issue and record payroll adjustments to pay related to previous errors or retroactive increases.
- Provides information to employees and managers on payroll matters and tax issues.
- Prepares and balance period-end reports, and reconcile issued payrolls to bank statements.
- Strictly ensures compliance with government regulations pertaining to payment of PAYE, NSSF, NHIF, HELB and any other applicable payroll related regulation.
- Compiles statistical reports, statements, and summaries related to pay and benefits accounts, and submit them to appropriate departments.
- Promptly responds and resolves payroll queries
- Keeps abreast of any changes in tax laws which apply to the payroll processing.
Education and experience:
- Bachelor’s degree in Finance with completed minimum of Certified Public Accountant Part II,
- Proficient in MS Office Suite – MS Word, MS Excel and MS Outlook
- Excellent understanding of Income Tax Law
- 2 years experience in a similar role
- Ability to maintain confidentiality of information
- Good interpersonal; communication skills
- Excellent organizational skills
- Attention to detail, good numerical skills
- Ability to work in a strict deadline driven environment
