World Agroforestry Centre (ICRAF) Jobs - Project Assistant – CIMMYT

The Position
ICRAF/CIMMYT seeks to recruit a Project Assistant to be based in Nairobi, Kenya. The incumbent will work under the supervision of the Global Maize Programme (GMP) Administrator/IMAS Project Leader as 2nd Supervisor and be providing program administration support to the Improved Maize for African Soils (IMAS) project and other project activities in the Global Maize Programme ensuring smooth flow of their activities by:
  • Program and administrative support to the IMAS project, including monitoring and tracking of project execution, budget monitoring, and other duties as requested by the IMAS project leader.
  • Logistical Support: Organization and administration of workshops, meetings and conference calls with project staff and partners (by compiling participant lists and contacts, communicating with participants, and liaising with CIMMYT travel office for suitable venues and booking of tickets and assisting with registration in line with CIMMYT requirements etc).
  • Contracting: Support in follow up to ensure timely partner contracting, fund disbursement, and reporting,
  • Communication: Assist in the timely and effective communication with project partners and ensure a clear calendar of events for the projects
  • Assist in updating the CIMMYT PMS and other databases as required
  • Procurement: Support procurement of project equipment and supplies by gathering information of project requirements and budget focusing and follow up of such procurements with ICRAF /CIMMYT procurement offices.
  • Administrative: support to GMP Programme: drafting responses to routine enquiries and maintaining an effective record and filling system
  • Any other duties as may be required by supervisor.
Qualifications, Experience & Knowledge
  • Diploma in Business Administration.
  • A Bachelor’s degree from a recognized institution in Business, Management, finance or equivalent will be an added advantage
  • At least 2 years practical hands on work experience in Project administration and management,.
  • Familiarity with monitoring and reporting on grant funded projects
  • Excellent computing skills; Word, Excel, power point and web management
  • Ability to organize and take notes at meetings, workshops and produce concise and accurate minutes and reports

  • Strong self-motivation and flexible team player
  • Ability to multi task and prioritize between tasks
