Organizational Setting and Reporting
The United Nations Office at Nairobi (UNON) is the UN headquarters in Africa and the respective office of the Secretary-General. UNON supports programme implementation of the UN Environment Programme (UNEP) and the UN Human Settlements Programme UN-HABITAT) globally, as well as other UN offices in Kenya, by providing administrative, conference and information services (www.unon.org). This post is located in the Meetings Co-ordination Unit, Planning and Co-ordination Section within the Division of Conference Services (DCS).

Responsibilities
Under the general supervision of the Chief, Planning and Coordination Section, the incumbent will be responsible for the following;
Conference Management:
a) Initiating and coordinating actions covering conference services activities, including planning, scheduling, organizing, recruitment, conference venues assessment, facilities usage optimization, coordination of services of meetings and conferences and follow up actions.
b) Providing advice to substantive secretariats and Governments with respect to UN polices and practices for conferences held away from established headquarters and host Government Agreements.
c) Reviewing meetings and conferences requirements and official entitlements of UN bodies.
d) Leading, overseeing and coordinating the preparation and implementation of the calendar of meetings and conferences under UNON's responsibility and related budget.
General Administration:
a) Implementing, coordinating and monitoring conferences' support services, including in liaison with the heads of the responsible functions, interpretation, documentation workflow, procurement of supplies and services; transport, travel, communications and information technology support; and provision of local utilities and service requirements.
b) Supervising the meetings planning and co-ordination team; providing advice on conference management and administration.
c) Preparing statistical data and reports on services and resource mobilization for conferences and meetings.
d) Performing other duties as may be required.

Education
Advanced university degree (Master's degree or equivalent) in business or public administration, social sciences or related area. A first-level university degree in combination with qualifying experience may be accepted in lieu of the advanced university degree.

Work Experience
A minimum of seven years of progressively responsible experience in public relations, conference services, international outreach events organization or inter governmental conference organization and management.
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another UN official language will be an advantage.
