Procurement Administrator - GOAL Kenya Jobs

Job Title: Procurement Administrator (PRA)
Reporting to: Assistant Regional Logistics Manager (ARLM)

Job Location: Nairobi
Start Date Required: Immediate
Contract Length: 3 months

General Description of the Role

Support the ARLM in preparing, carrying out the procurement exercise of establishing Pre-qualification of suppliers on the regional and international levels from NBI RLO and Framework Agreements in several categories of supplies and services. Assist ARLM in compiling files, gathering information, analysis of data and completing summaries required for successful implementation of PQ/FWA projects, including liaison with vendors, GOAL country programs.

Key Responsibilities

Vendor Roster/Data Base of Suppliers
  • Complete the comprehensive data base of all the suppliers recorded between GOAL Kenya, GOAL South Sudan, ex GOAL Galway office, GOAL HQ office into a single consolidated platform
  • Scrutinise the Vendor Files maintained in soft and hard copies in Nairobi between NBI RLO, GOAL Kenya and GOAL South Sudan in order to pull together the records on Vendors operating in the market and record same in the same single Vendor Roster
  • Validate information on all the vendors recorded in the central Vendor Roster in terms of suppliers/vendors are still operating and active, their contact details and line of business they are involved in
  • Break the Vendor Roster by the categories of supplies and services
  • After analysis and cutinisation of the newly consolidated Vendor Roster, list the relevant and adequate suppliers to be solicited for PQ/FWA tender documentation
Pre-qualification and Framework Contracts Process
  • Participate in and assist ARLM in preparing all required documentation and tender paperwork for PQ/FWA processes
  • Liaise with the listed vendors from the consolidated and uniform Vendor Roster and the vendors that would come from an open tender notice and fair tender process on soliciting tender documentation, elaborating steps of tender process involved in PQ/FWA, on providing informational support to vendors, and on being the central point of contact for all incoming and outgoing correspondence related to PQ/FWA process
  • Collect, consolidate and analyse information on PQ/FWA sourced from all different sides
Disposal of Scrap Assets in Nairobi Office
  • Prepare the comprehensive list of all scrap and broken assets stored in Nairobi office from GOAL South Sudan and Kenya
  • Facilitate the sale or other disposal documentation that would go out for the public attention
  • Collect the offers on purchase or donation of scrap assets from different sources
  • Consolidate and analyse offers for donation and purchase or other forms of disposal and provide the completed analysis and recommended disposal plan to ARLM for consideration and approval
  • Document and file away all paperwork, correspondence and other information on the completed process of assets disposal
Other
  • Undertake other tasks relating to GOAL activities as requested in agreement with the ARLM in Nairobi Regional Office
General Requirements
  • A minimum of 2 years in relevant office administration and data entry and analysis activities.
  • Good typing speed and abilities
  • Good skills in analysing vast, diverse and big volume of information and data
  • Good communication and liaison skills to commercial sector
  • Good skills in consolidating reports, consolidating big volume of information and analysing big data
  • Strong organisational skills, ability to plan, timetable activities.
  • Computer Literacy, especially using MS Excel, Word and Outlook.
