Reports to: General Manager (During absence: to Group Operations Manager)
Position Overview
Our client owns a small upmarket exclusive hotel/beach resort which offers stylish personal services with a truly African alternative to western luxury. You are expected to pamper our clients and go the extra mile to maintain this high standard.
We offer genuinely friendly and personal service giving guests time to relax in the privacy and space they came for.
You are required to enforce, maintain and contribute to the constant maintenance and improvement of the high standards set for the Lodge.
The three Retreat Villas offer a high-end individual & utmost personalized service. Every Villa has their own butler and there is one separate kitchen catering for all needs and special requests.
This department operates independently, but forms part and parcel of the resort.
Responsibilities and Duties:
As Lodge Manager your main responsibilities and duties will be:
To manage all daily, weekly and monthly operations.
To ensure all guests receive an experience which is compliant with our service offering.
To ensure all staff are managed in compliance with the group HR policy and the labour law of Zanzibar.
To ensure all staff are motivated and follow the company ethics.
Ensure service levels are maintained at a stable high standard.
To maintain strong cooperation and communication with all assistant managers and heads of department.
To maintain a positive relationship with the communities & neighbours.
Attend village meetings, record & file all correspondence, maintain the village notice board and keep tight communication with the community by cooperating with the village liaison officer.
Oversee the financial procedures and ensure strict controlling in accordance with approved budgets.
To maintain and improve cost effective operations.
General safety and protection of all guests, staff, property and equipment.
To ensure safety procedures are in place for guests both in the property and when participating in activities, excursions and transfers.
Ensure overall repairs & maintenance of the property.
Oversee all procurement, stores and stock control.
Ensure that the overall hygiene of the resort is in place and maintained.
Ensure month-end stock takes are done and submitted on time according to the financial time line.
Exercise and implement cost saving measures.
To manage all company assets in such a manner as to limit any potential losses to the company.
Keep the General Manager informed of all relevant information (Group Property Management during GM absence).
The specific responsibilities and duties of the Lodge Manager are defined as follows:
Daily Tasks
Organise the team and ensure priorities are performed.
Communicate with guests and ensure their visit is a true experience in accordance with our service offering.
Ensure highest service levels are maintained across all departments.
Supervise the team to ensure that they perform their duties properly and professionally and perform spot checks.
Ensure that beaches and guests facilities are up to standard at all times.
Ensure menus are balanced and the quality of the food is stable and high class.
Facilitate all offered activities and requests.
Deal with guest complaints immediately.
Monitor daily expenditures and maintain authorisation procedures.
Undertake any reasonable assignments requested by Group Property Management.
Maintain staff discipline and motivation.
Ensure all furniture, fixtures, equipment, vehicles, generators and related equipment are being maintained.
Staff Matters
Ensure prompt attendance is maintained.
Conduct staff performance appraisals according to group standards.
Ensure the disciplinary code & procedure as well as the Zanzibar labour laws is adhered to and followed strictly.
Ensure staff files are maintained and all relevant data is on the personnel files.
To hold regular meetings with assistant managers, heads of departments and staff in order to keep them informed about internal issues and changes, Asilia policies and any other relevant matters.
Communicate salary increases, staff appointments and dismissals with the General Manager (During GM absence to Group Property Management).
To take the required disciplinary steps when the need arises.
Leave
To manage the leave rosters for the assistant managers and HODs.
Ensure that the leave taken by managers and the HODs does not allow for more than one manager to be away from Matemwe at any one time.
To monitor all leave rosters to ensure that staff takes their full annual leave quotas.
To ensure that your own leave is taken in the course of the year.
Medical
To ensure that proper medical attention is given to any guests that fall ill while staying at Matemwe.
Ensure all staff receives proper medical attention when they are ill.
To monitor all records of medical expenses for staff and to ensure no over expenditure.
To monitor the issuing of sick sheets.
Allowances and Loans
To authorise all salary advances in compliance with the company policy.
To monitor all staff payment allowances in accordance with company policies.
Recruitment/ Termination
To manage all facets of recruitment and termination of employees according to both Zanzibar laws and company policies
To chair disciplinary meetings and to make all relevant decision resulting from such meetings
To coordinate relevant job advertisements and external interviews
At termination, to authorise the final payment of the employee who is leaving the company, ensuring that all salary advances, leave reconciliations and staff issues [uniforms etc] are accounted for.
Training
To advise, research, co-ordinate and manage staff training programmes.
To coordinate and conduct training for employees as required by operations, as well as on matters relating to the company’s General Employment Terms, Code of Conduct and other relevant policies.
Behaviour
You are to act as a leader to all departments and members of staff.
You will be responsible for the well-being of all staff.
You will be expected to behave honestly and be sober at all times.
You will maintain a high standard of personal hygiene and keep are in good health.
Your appearance and behaviour is to be that of a senior manager representing the Asilia Group in all your work activities.
No abusive language or behavior is allowed.
You are not authorized & not permitted to hand out or distribute any company information whatsoever without the consent of the GM (during his absence: Asilia Group Head Office).

Responsibilities
Major

Specific:

Portfolio Manager Vacancy Announcement
The client has African regional presence, and this particular position will be based in Nairobi, Kenya.
Portfolio Manager
Position Overview:
Reporting to the Senior Portfolio Manager, the ideal candidate will ensure that the provisions of the financial structure plan are implemented, to manage any variances against the plan and to ensure that portfolio risk and collateral are appropriately managed.
Key Internal and External Customers:
Internal: Trusted advisory relationship with General Manager and the Senior Portfolio Manager. Liaise closely with Risk and the Administration Manager
External: Build close relationships with the Entrepreneurs; work closely with the Auditors/Accountants
Responsibilities:
Provide business support
- Monitor disbursements to ensure that it stays within the parameters of the approved deal structure and financial plan.
- Plan client visit schedule with Senior Portfolio Manager
- Collect and analyze clients’ monthly management accounts
- Identify any negative trends and deviations from the client’s financial plan.
- Discuss deviation report with client during regular meetings.
- Notify Senior Portfolio Manager of interventions needed to restore a client’s business health.
- Prepare and present monthly deviation and Early Warning Sign reports to Senior Portfolio Manager and Risk
- Monitor deviations and Early Warning Signs for signs of deterioration, and inform Risk and the Senior Portfolio Manager accordingly
- Confirm client visit schedule with Admin Manager as per the collateral register
- Visit client and confirm the physical presence and condition of collateral.
- Upon disbursement, verify that item(s) delivered is what was approved and inform Admin Manager to register and insure assets.
- Verify working capital has been approved as per approved disbursement and provide the Administration Manager with receipts.
- Inform Risk of any deviations in approved fund utilization.
- Arrange independent valuations, where required
- Report status, condition and value of collateral to Admin Manager
- Discuss irregularities or collateral devaluations with client and Senior Portfolio Manager
- Request alternative collateral, where applicable, and arrange for valuations.
- Prepare Change in Collateral report
- Address FC/Board issues
- Arrange for client to sign Addendum to Loan Agreemen
- Arrange with Admin Manager to implement the new collateral.
- Notify client if monthly installment has not been met
- Determine reasons for inability to pay if client cannot meet payment
- Discuss situation with Senior Portfolio Manager and decide a plan of action and prepare the appropriate report and submit to the portfolio manager.
- Formalize repayment arrangements in line with actual cash flows submit to Senior Portfolio Manager for review
- Address any issues raised by Risk, FC or the Board
- Arrange for the client to sign the necessary documents
- Monitor the arrears situation and repayment plan.
- Ensure high levels of customer interaction and service
- Ensure regular and appropriate client contact
- Manage and resolve client complaints/dissatisfaction
- Relevant qualifications in Finance, Accounting and/or Business Management
- Minimum certificate in Management Accounting or Credit Control
- Preferably having run an own business or managed a small business for one year or more
- Preferably 5 years in a credit analysis, business development and SME consultancy
- Financial statement analysis
- Report writing skills
- Proficient in MS Office Suite (Word, Excel, Power Point and Outlook)
- Excellent English verbal and writing skills, must have good grammar

- Work with the General Manager for Hospitality and other team members in the development of ideas for new services and new markets for existing services.

- Oversee production and distribution of quarterly newsletter to all stakeholders
- Oversee day-to-day maintenance of the client database, ensuring that new leads are added in a timely manner and integrity of data is maintained through regular cleaning
- Ensure that colleagues at all levels are following prospect tracking systems in liaison with the ICT Department
- Review existing online marketing strategy, suggest and implement improvements
- Ensure the company’s website are ranked on page 1 of all major search engines for targeted keywords
- Oversee day-to-day updates and maintenance
- Review existing data collection systems, suggest and implement improvements
- Collate data on clients, enquiries, conversions and website activity
- Present monthly report to General Manager for Hospitality, analyzing past performance and proposing future activities and direction
- Bachelor degree and a Diploma in Sales and Marketing membership of the CIM will be of added advantage.
- Previous marketing experience in a restaurant, hospitality, or retail environment.
- High level of computer application skills.
- Posses a very good understanding of the local hospitality and tourism industry.
Required Minimum:
Preferred: Experience working in Hospitality or Travel agency environment

- Deliver works program/s: including planning, scoping, procuring and carrying-out adhoc repairs and maintenance and programmed works under various budgets;

- Demonstrated ability to undertake new task quickly, adapt to different environments and respond to challenges. Ability to plan and organise priorities to meet tight deadlines.
- Ability to communicate effectively orally and in writing, including an ability to assist in liaison, negotiation and consultation. Strong interpersonal skills and ability tot build productive working relationships.
- IT skills: Demonstrated ability to troubleshoot desktop and server operating system issues. Good understanding of Microsoft networking protocols, knowledge of application packaging and deployment, and problem solving of installation issue. Ability to provide helpdesk support to clients on the use of IT to meet their needs. Related experience and/or tertiary qualifications are highly desirable.
- Driving skills: Demonstrated ability to drive safely, to prevailing road conditions. Excellent knowledge of Nairobi environs.

Facilities Supervisor
Main Purpose of the Role
Responsible for the implementation of all approved facilities projects as per the set standards and regulations.
Among others, key accountabilities will include:-
- Ensuring timely implementation of all new approved facilities projects to specifications and standards
- Arrange for general maintenance of office equipment, fixtures and fittings as necessary
- Ensuring that effective and appropriate Health and Safety policies and procedures are in place which meet legal requirements, best practice and organizational objectives
- Investigate and respond accordingly to any reports of faults, breakdowns to office equipment and or premises and ensure that repairs are carried out as per the laid down guidelines
- Coordinating renovations, office moves and maintenance of the existing facilities and infrastructure
- Setting specifications for facilities materials and services
- Maintaining records of all facilities and tools/implements
- Carrying out regular inspections/checks on company facilities and recommending any actions
- Advising the company of all legal and technical changes that may affect the Company’s facilities
- Timely completion of projects
- Optimizing facilities costs
- Diploma in Mechanical / Civil engineering from a recognized institution
- Project management
- Excellent organizational, interpersonal and communication skills
- Experience in managing third party service providers
- Minimum 3 years relevant experience in a commercial environment
