Position: HR ASSISTANT / HR OFFICER
Primary purpose of the job: Offer Support and Assistance to the Human Resources Manager.
Key Responsibilities:
1. Recruitment
a) To receive all job applications, analyze and shortlist in line with the job specifications
b) To liaise with the HOD and HRM to invite sort listed candidates
c) To receive the shortlisted candidates and act as custodian of all score sheets
d) To provide feedback to all interviewed candidates as per interview results
e) To sustain the application databank
1. Training
a) To inform employees of planned training interventions
b) To ensure adequate provision of all training material (room, stationery, projector, flip charts, meals, e.t.c)
c) To facilitate timely processing of DIT claims including following up on approvals and final reimbursement
d) To prepare reports on DIT fund status
e) To liaise with finance for timely settlement of payment to trainers and providers
f) To make necessary travel and accomodation bookings for trainers and trainees as may be necessary
g) To distribute evaluation forms and submit relevant reports
2. Office Administration
a) To ensure all union staff files are kept upto date
b) To maintain uptodate leave data for all union staff
c) To track and advice on administraion of union staff benefits e.g. travel leave allowance (be conversant with the CBA)
d) To maintain up to date Saturday off rota records
e) To maintain up to date loan records and advice on eligibility for loan
f) To manage all incoming HR mail and correspondence
g) To administer group personal accident and work injury compensation claims efficiently
h) To coordinate with of insurance brokers, lawyers and insurance companies incase of claims or suits and keep appropriate records
f) To ensure union employees applying for company loans are within guidelines
3. Internship
a) To keep records of all interns
b) To submit documents for facilitation of DIT reimbursement for interns
c) To prepare internship program in liaison with heads of department
d) To take interns on an orientation tour.
Job requirements & Specifications
Minimum Bachelors Degree in Human Resources / Any other relevant Social Science.
Minimum 3 years experience in a similar busy multi-cultural manufacturing environment.
Should have strong knowledge of Labour Laws and Industrial Relations.

The East Africa Dairy Development (EADD) is a regional industry development project implemented by Heifer International and a consortium of partners including TechnoServe, ILRI, The World Agroforestry Center (ICRAF) and ABS TCM.
The project is funded by the Bill & Melinda Gates Foundation as part of an agricultural development grant designed to boost the yields and incomes of millions of small farmers in Africa and other parts of the developing world.
The project is being implemented in Kenya, Rwanda and Uganda.
EADD seeks to recruit a talented and result-oriented Human Resources and Administration Manager. The position will report to the Regional Director of Finance and Administration.
Key responsibilities:
Develop, implement and monitor appropriate recruitment policies to ensure EADD attracts and employs the highest calibre of staff;
Develop, implement and monitor HR systems including performance management, staff management information record systems and budgets;
Provide leadership in HR management and guide other managers in staff development, individual training, mentoring and coaching to improve staff performance, motivation and morale
Develop, Implement and monitor compensation and benefits policies to attract, retain and motivate staff;
Oversee the administrative function, including managing the process of contracting for provision of goods and services, office premise, vehicle maintenance and insurance; and
Manage organization of country office meetings, conferences, workshops as well as accommodation and entertainment arrangements for organization visitors and regional staff.
Qualifications, Competencies and Experience:
A Bachelors degree in Social Sciences or Business Administration with a bias in Human Resource Management. A Masters Degree in Human resource and Administration will be an added advantage;
A Higher Diploma in Human Resource Management;
At least four years relevant Human Resource and Administration experience at a senior level;
Ability to work in a team, influencing and networking skills are essential; and
Proficiency in MS Office Applications.

Office Administrator
Ensure the smooth running of the office at all times.

Maintain all staff records and compile statistical reports concerning personnel related data such as recruitment, transfers, performance appraisals, and absenteeism.
Prepare and maintain the staff leave rooster and monitor staff attendance.
Monitor scheduled and unexpected absences and coordinate actions to ensure continuity of operations.
In charge of general communication by the company to staff.
Oversee employee safety, welfare and health.
Represent the company and its related businesses in personnel related disputes and hearings.
Plan and conduct new employee orientation to foster positive attitude towards organisational objectives.
Coordinate staff recruitment and selection process in order to ensure a timely organised and comprehensive procedure is used to hire staff.

Human Resources Manager - Church World Service (CWS) Jobs in Kenya
Founded in 1946, Church World Service is a cooperative ministry of 35 Protestant, Orthodox, and Anglican denominations, providing sustainable self-help and development, disaster relief, and refugee assistance in some 80 countries.

The Human Resource Manager will have primary responsibility for developing, coordinating and implementing personnel policies and procedures for Church World Service/Overseas Processing Entity (CWS/OPE) Nairobi, including training, evaluation and staff care.
The incumbent will provide direct supervision to the Human Resources staff of CWS/OPE Nairobi, and will report directly to the Deputy Director for Administration. This position will work closely with staff in CWS/NY on personnel issues.
Core Functions:
1. Policy and Management
Plan, coordinate and direct the Human Resources work and personnel administration for the CWS/OPE Nairobi office.
Ensure that HR policies and practices are in compliance with U.S. and Kenyan Labor Laws, Occupational Health and Safety Act standards, Workman’s Injury Benefit Act requirements, and CWS human resource policies.
Work with CWS headquarters and with OPE Nairobi supervisors to develop best practices in human resource management and to ensure implementation in a fair, consistent and transparent manner.
Review and update the National Staff Handbook and all other human resource policies as appropriate.
Provide supervision, support and guidance to the OPE Nairobi human resources staff.
Develop a recruitment strategy for both paid and volunteer staff; coordinate interview and hiring processes; and ensure that newly hired staff members complete all necessary HR paperwork.
Manage time and attendance monitoring and oversee the use of HR software.
Conduct research and provide recommendations to OPE senior management on HR policy practices.
Develop the HR budget and monitor spending to ensure budget compliance.
Oversee the management of the employee benefits program.
2. Staff Performance Evaluation and Training
Develop and implement the CWS/OPE Nairobi staff performance evaluation process, including developing the capacity of supervisory staff to implement effective performance monitoring.
Assess staff training needs, develop annual training plans and conduct staff training activities.
Develop and collate training materials and make these accessible to OPE staff members, including through use of information technology.
In coordination with the CWS/OPE Nairobi Security Coordinator and supervisors, ensure that OPE Nairobi staff members receive relevant safety and security training.
3. Staff Care
Oversee new staff member welcome and orientation.
Ensure that staff understand and have access to benefits under their health insurance plans.
In conjunction with the Field Team Manager and Cultural Orientation Senior Trainer, coordinate response to medical emergencies that staff members experience while in the field.
Identify smart practices on staff care within the international NGO community, and integrate into OPE Nairobi’s approach.
Ensure that the HR unit is accessible and responsive to staff inquiries.
Ensure a harassment-free work environment, including through the fair and transparent application of OPE Nairobi sexual harassment policies.
Assist in the administration of employee recognition programs and help plan staff events.
4. Other
Serve as Chairperson of the CWS Staff Retirement Benefits Scheme, and ensure that its funds are invested and managed in a transparent manner that complies with the rules and regulations of the Retirement Benefits Authority.
Serve on the Security Review Team and ensure that section SOPs are in line with CWS/OPE Nairobi security policy and that HR staff members receive necessary training on staff safety and security.
Perform other related duties and projects as requested.
Position Requirements:
U.S. Citizenship.
Undergraduate degree required, with a strong preference for business, human resources management, or a related field.
Three to five years experience in general human resource management. Previous work experience with an overseas NGO an advantage.
Thorough knowledge and comprehensive understanding of U.S. and Kenyan Labor Law and retirement benefits rules and regulations preferred.
Demonstrated experience with staff training and development.
Demonstrated knowledge of performance management systems and performance evaluation.
Exceptional interpersonal communication skills with an ability to communicate detailed and/or technical information clearly, in writing and orally.
Strong research, analytical and consensus-building skills.
Strong organizational and time management skills.
Computer literacy, with an ability to use word processing, database and spreadsheet applications and electronic mail and worldwide web communications.
Proven ability to manage confidential information.
Proven ability to maintain high performance standards with constant attention to detail.
Ability to conduct oneself in a professional and courteous manner to represent the best interests of CWS/OPE Nairobi and CWS/IRP.
